AI Initiatives Communication Plan

AI Initiatives Communication Plan

Problem

AI initiatives across the org lack a unified communication mechanism, leading to siloed awareness and limited cross-team collaboration. Teams working on Copilot CLI, Copilot SDK, VSCode, and other AI efforts need a structured way to share updates, learnings, and collaborate.

Goals

  • Awareness: Keep all teams informed of AI progress, releases, and learnings
  • Collaboration: Drive cross-team contribution and reduce duplication
  • Discoverability: Make AI resources, investments, and knowledge easy to find

Approach: Three Pillars

Pillar 1: Sources - Existing Channels & Inputs

These are the existing sources of information that feed into SharePoint and the Newsletter.

# Source Type Description
1 Copilot CLI channel Teams Channel Updates, discussions, and announcements for Copilot CLI
2 Copilot SDK channel Teams Channel Updates, discussions, and announcements for Copilot SDK
3 Monday Minutes Recurring Meeting Weekly sync notes and action items
4 Individual Team Repos GitHub Repos AI-related repos across teams
5 VSCode Releases Release Channel VSCode release notes and updates

Pillar 2: SharePoint - Organized Content Hub (Existing Sites)

Use existing SharePoint sites (AI Discussion, team sites) with better organization.

Sections to organize:

News

Aggregated updates from:

  • Copilot CLI updates
  • Copilot SDK updates
  • VSCode releases
  • AI Discussion channel learnings

Videos Library

Curated from AI Discussion and other SharePoint sites

Documents Library

Organized into:

  • Learnings
  • Vision documents
  • Gist references/links

AI Investments Tracker (SharePoint List)

Field Description
Investment Name Name of the AI initiative
Owning Team Team responsible
Status Active / Planned / Completed
Description & Goals What it does and why
Help Needed Flag + description of what help is needed
Links Related docs, repos, gists

Pillar 3: Weekly Newsletter - "AI Initiatives Weekly"

Distributed via email + Teams channel post every week.

Newsletter Sections:

Section Content
What's New Top 2-3 highlights of the week
Core Updates Copilot CLI news, Copilot SDK news, VSCode releases, Eval updates
Active Investments Link to tracker, highlight items needing help
Tip of the Week One actionable AI tip or technique
Feedback Link to feedback form/channel

Implementation Checklist

Phase 1: Identify & Document Sources

  • Catalog all existing Teams channels, repos, and meeting notes
  • Establish process for pulling updates from each source

Phase 2: SharePoint

  • Organize News section on existing SharePoint
  • Organize Videos library
  • Organize Documents library (Learnings, Vision, Gists)
  • Create AI Investments SharePoint list

Phase 3: Newsletter

  • Create newsletter template
  • Set up email + Teams distribution
  • Establish weekly cadence and ownership

Notes

  • Pillar 1 sources feed into Pillars 2 & 3 - they are inputs, not deliverables
  • SharePoint is for rich content (videos, lists, documents)
  • Newsletter drives traffic to SharePoint and source channels
  • AI Investments list should be low-friction for teams to update
  • Consider rotating "Tip of the Week" contributors to drive engagement
