Adam & Alex 1:1 |

Google Meet |

Keeping Tabs is a repeatable, exportable format. The pilot was a near-perfect success with zero structural fixes needed. The conversation has already shifted from "how do we fix it" to "where else can we take it" (Bourbon & Branch, Johnny Brenda's, the International). Monthly rotation with Name That Jawn and other member-led events builds sustainable programming momentum.
-
20th Anniversary steering committee is the unlock for everything else. Decoupling Lydia's involvement from Lou's Lunch Meet decision means progress can happen now instead of waiting on dependencies. A 4-8 person steering committee with intentional diversity (membership level, tenure, activity) lets Indy Hall crowdsource the vision while Alex and Adam provide guardrails.
-
Fellow app at First Friday is a low-stakes experiment with high signal potential. Kat Jost's opt-in contact-sharing tool solves a real gap (people meet at events but can't reconnect). Physical signage + name tags could bridge the digital-physical gap. Worst case: not enough adoption, which is still useful data.
- Keeping Tabs next event: Aim for Friday April 10 or later. Adam will propose dates; next one may be offsite (Bourbon & Branch, The International, Johnny Brenda's as stretch goal).
- 20th Anniversary Committee: Decouple Lydia from Lou/Lunch Meet dependency. Adam reaches out to Lydia specifically about anniversary committee. Aim for 4-8 person steering committee in next couple weeks.
- Fellow App: Target March First Friday for pilot. Kat has until end of this week to deliver assets for inclusion in the following week's communications.
- Speakeasy Studio: Adam can book the room directly for his own recording with Marty and Dan. Email Taylor + Vince + Alex to flag the booking and check conflicts.
- Backwards Plan: Deferred. Adam hasn't read it yet; blocked time on calendar.
- Wednesday triple-header logistics: Code Club in main space downstairs, Civic Tech upstairs in Sky Room, Game Night in boardroom or gallery. Adam to message Carlton, Mike Gunn, and Walt so team captains know each other.
- Alex's North Carolina trip (Feb 26 - Mar 2): Adam needs coverage for Feb 27 Name That Jawn and Feb 26 Fifth Square Author event. Raz or Will for author event; AV prep or checklist needed.
Alex:
- Reach out to Lydia and Lou about Indy Club Profiles pairing (first episode of new season with Cam)
- Reach out to Michelle (Monarch) for Saturday teacher training check-in
- Investigate Keeping Tabs email reply routing (Deepak's reply went to paper trail instead of inbox due to no-reply sender)
- Block time to read the backwards plan document before next 1:1
- Give Adam his old MacBook Air as an event computer (guest account setup)
Adam:
- Reach out to Lydia about 20th anniversary committee (decouple from Lou/Lunch Meet)
- Close out Anastasia and Jessica Sarkeesian custom plans in Nexudus (in progress - canceling tomorrow)
- Reach out to Anastasia and Jessica Sarkeesian as a courtesy
- Follow up with Kevin Denny (snooze to tomorrow, send update after 1 week)
- Message Carlton, Mike Gunn, and Walt about Wednesday triple-header team captain introductions
- Book Speakeasy Studio time and email Taylor, Vince, and Alex about it
- Line up coverage for Feb 26-Mar 2 (Name That Jawn, Fifth Square Author event, Saturday boardroom booking)
- Take a pass on names for 20th anniversary steering committee (4-8 people, intentional mix of tenure and membership levels)
- Propose Keeping Tabs April dates (earliest March 27, explore offsite venues: Bourbon & Branch, The International)
Shared:
- Form 20th anniversary steering committee in next couple weeks (make list, split outreach)
- Plan end-of-winter membership retention campaign (lunch meet + 2-3 other ideas, dedicated conversation)
- Reminders created for Alex's action items
- Meeting transcript added
- Adam's relationship record updated
- Start Paraspect before meeting begins
- Ask Adam for consent to record
- Recording consent: [ ] Yes [ ] No
- How's the week going so far?
- Any standout wins or challenges?
- Talk to Chris Carter about adding wayfinding language to focus/common zone signs - Chris will whip up a new design and send it back for review, then get printed. Back burner project.
- Get comparison quote for PVC sign laser etching (vs Marathon's $50/sign) - Not done yet
- Create Google Form + QR codes for Keeping Tabs speaker submission - Done, worked well at the event
- Send Keeping Tabs logistics email Thursday with event rundown and form link - Done
- Share Keeping Tabs promo video in Indy Hall Discord - Done
- Reach out to Kevin Denny about membership renewal (3-month raffle expired) - Yes, reached out. No response yet. Will follow up tomorrow (1 week since sent).
- Close out Anastasia and Jessica Sarkeesian custom plans in Nexudus - In progress. Hitting cancel so they expire tomorrow. Will also do a courtesy reach-out.
- Remove Kim Fox custom plan from Nexudus - Done
- Do item-by-item documentation of special membership arrangements with next-step recommendations - Document from last week still stands, nothing new
- Follow up with Lou Hang on Lunch Meet program (ball in Lou's court) - Snoozed, Lou says unsure but ongoing
- Connect Lydia Connor with 20th anniversary committee planning - Decoupled from Lou. Adam will reach out to Lydia specifically about anniversary committee (separate from Lunch Meet/Indy Club Profiles).
- Send Nirvana a "not loving the radio silence" message - Not discussed
- Investigate Printful bulk/batch ordering for customized reunion mugs - Not discussed
- Screenshot Nexudus custom plan list and share with Adam for review - Not discussed
- Do a version of the strategic planning dependency workflow / backwards plan - Done. Internal + member-facing docs created. Adam hasn't read yet.
- Finish Clubhouse Card system (payment link integration) - Not discussed
- Form Indy Hall 20 Committee by end of February - identify motivated alums, reach out - In progress. Strategy refined: form 4-8 person steering committee first, then let them self-organize into sub-committees.
- Continue monitoring Nirvana situation - Adam had productive 1:1 with Joe Rosato at Higher Grounds. Joe sent a follow-up DM acknowledging Indy Hall's work is important. Small progress on behavioral change.

Context: Internal plan + member-facing version completed Feb 11. 5 phases, 8 dependency chains, month-by-month timeline.
- Internal doc: https://docs.google.com/document/d/1SXoM9pAwFWes7JGnPmO-B3yVJ4Of36NEz_l5_rLbOtY/edit
- Member-facing doc: https://docs.google.com/document/d/19FtDB5So0NF7Zy6aNybdwDFEkevCLjILntvzE0s2cNg/edit
Discussion Points:
- Review together: what needs adjusting before sharing with members?
- Member-facing version ready to tune
Outcome:
- Deferred. Adam hasn't read the document yet. He blocked time on his calendar during the meeting to read it as a task block. No substantive review happened. Prerequisite for sharing with members or involving Lydia/committee in the vision.
Context: Podcast-style member profile series.
Discussion Points:
- Episode 1 pairing finalized: Lou Huang & Lydia Conner (haven't met before)
- Episode 2 pairing finalized: Dave Walk & Marquise Richards (event hosts)
- Need names for Episodes 3-10
Outcome:
- Adam confirmed he has the first two pairings on his to-do list: giving Cam connections to Lou and Lydia (Episode 1) and the second set (Dave Walk & Marquise Richards). Alex offered to take the Lou + Lydia outreach into his own court: reach out to both and say "Adam has talked to you both, before we go down that road, here's what we're planning for the next season, and if you're game, I'd like for the two of you to be our first pairing." Then tee it up with Cam. Episodes 3-10 names not discussed this week.
Context: Kat wants to pilot Fellow (contact-sharing app) at PWYW First Friday Coworking.
- Met in person Feb 13 to brainstorm
- Test event went well Feb 15 (IG reel: instagram.com/reel/DUzCY40Dwfr/)
- Kat sent logos for collaborative branding (Feb 16)
- Alex asked Kat to draft invite copy for 2 audiences: First Friday RSVPs + IH members
- Framing: "try an experiment" not "promoting Fellow"
Discussion Points:
- Signage needs for the collaboration
- Anything else for collab branding?
Outcome:
- Alex explained how Fellow works: opt-in check-in at events with phone number + photo. Mutual matching (wave = platonic, wink = romantic, only matches if both sides signal). Post-event option to be visible to others who attended. Privacy-first design.
- Both agreed First Friday PWYW day is the ideal pilot: contained, people come for that reason, low stakes.
- Target: March First Friday. Kat has until end of this week to deliver assets; those need to go into communications the following week.
- Signage plan: laminated signs around the space + table toppers with QR codes on the pay-what-you-wish day itself.
- Alex had idea: Fellow-branded name tags as physical signaling for participants. Could include a QR code so people can sign up on the spot. Adam will mention this to Kat.
- Adam noted: no financial exchange, no stakes. Worst case = not enough adoption, which is still useful data for Kat.
- Comparison to Lou's feedback about wanting more scaffolding for meeting people - Fellow addresses this directly.
- Alex noted the John Alfano/Swoop tension (using a competitor's product at events) but didn't flag it as a blocker.
Context: First Keeping Tabs: Lightning Talks event happened Friday Feb 13. Had 18 RSVPs (50/50 guests vs members). Adam wants to debrief and discuss next event.
Discussion Points:
- How did it go? Attendance, energy, format feedback
- What worked, what to change for next time?
- Any standout moments or connections?
- Next Keeping Tabs event - when? Same format or iterate?
Outcome:
- Adam called it a major win across the board. Happy with every aspect: topics, format, energy, afterhangout.
- "I think I might have cracked the code on Ignite without so much stress" - The Google Form worked perfectly. James and Jehaziel filled it out in minutes and delivered great talks without even seeing the prep email.
- The afterhangout was great - people stayed, met each other, hung out. Friday night casual energy worked.
- Adam created a Canva roundup recap that was fun to make and learned new Canva skills in the process.
- Only thing that needs tightening: a couple (2-3) people arrived midway and missed the start. Now that Adam knows the event's time window, he can communicate arrival time more clearly.
- Tanya (doing an event with Adam via Lift Up) also attended, which was a nice cross-pollination.
- Luma surfers showing up (Jehaziel, Deepak, others) - variety beyond just the Indy Hall crowd.
- Josie Allen was the last person to leave with Adam - lives in the neighborhood, enthusiastic about being around more.
- No structural fixes needed. All feedback was "cherry on top" embellishments, not problems to solve.
- Next event timing: Friday works great, no reason to change format. April target. Adam's away April 10, Alex's away too at some point in April. Mini Bar is April 24. Earliest possible: March 27. Adam will propose a few dates.
- Offsite potential: Both agreed a public-facing version (at a bar) would "slap." Bourbon & Branch is the easy first offsite option. The International upstairs is another. Johnny Brenda's is a stretch goal (needs an empty night, more coordination). Alex also suggested Jess Victor for a version at The Barcade.
- Monthly rotation idea: Each month, one member-led live event at Indy Hall. February = Keeping Tabs, March = Name That Jawn, then April = Keeping Tabs again. Builds sustainable momentum without overdoing any single format.
- Email routing issue: Deepak replied to the Keeping Tabs roundup email, but it went to Adam's "paper trail" instead of inbox because it came from a no-reply address. Need to investigate how to white-label or fix routing.
Context: Goal was to form "Indy Hall 20 Committee" by end of February. Lydia Connor volunteered to help. Adam was connecting committee members. Two weeks left in February.
Discussion Points:
- Status of committee formation - who's been reached out to?
- Lydia's involvement status
- Any other alums who've shown interest?
- Nostalgia campaign idea (with Cam or SBX) - any progress?
Outcome:
- Adam had been waiting on Lou's Lunch Meet decision before engaging Lydia (Lydia had 3 potential involvement tracks, and Adam didn't want to piecemeal them). Alex pushed to decouple: "How can we rearrange this so it's not dependent on another person's decision?"
- Decision: Adam will reach out to Lydia specifically about 20th anniversary committee, separate from Lunch Meet and Indy Club Profiles. A direct call/Zoom instead of async email to move faster.
- Alex will separately handle Lou + Lydia outreach for Indy Club Profiles (Episode 1 pairing with Cam).
- Steering committee concept refined: 4-8 people who are the extension of Alex and Adam. They reflect guidance but have hands on the wheel. Then those folks help decide smaller sub-committees with co-captains.
- Curation principles: Intentional diversity of membership levels AND membership tenure. Mix of people who've done stuff, people who've shown interest but haven't had a chance to level up.
- Names discussed: Steph Lau (spiritually perfect, capacity unknown), Mike Masterson (would love to be tapped), Kevin, Lou. Adam will take a pass on additional names.
- Process: Alex and Adam make the list, then figure out how to split outreach. Aim to form steering committee in the next couple weeks, or at least have initial interest confirmed.
- Prerequisite: Alex and Adam need to review the backwards plan document together first, so they can share a vision framework with the committee. Committee can help shape what's fuzzy/half-baked.
Context: Adam was doing item-by-item documentation with next-step recommendations. Alex was going to screenshot Nexudus custom plan list.
Discussion Points:
- Status of item-by-item documentation
- Any accounts closed out (Anastasia, Jessica Sarkeesian, Kim Fox)?
- Kevin Denny renewal outreach - any response?
Outcome:
- Kim Fox custom plan: already removed. Done.
- Anastasia and Jessica Sarkeesian: Adam is closing them out during this meeting. Setting them to cancel tomorrow so they're no longer on custom plans. Will do a courtesy outreach since their periods ended around the holidays and they haven't been in since.
- Kevin Denny: Adam reached out. No response yet. Will snooze and follow up tomorrow (one week since initial outreach).
- Documentation from last week still stands, nothing new has come up.
Context: 4 Adam-related reminders still pending, several dating back to early January.
Pending Reminders:
- Email all new Clubhouse Card owners - onboarding nudge (from Jan 20 1:1) - due Feb 19
- Pull Q4 member list, reconcile against check-ins for outreach (from Jan 20 1:1) - due Feb 19
- Build rollover account automation: 1 week before period ends, send notification (from Jan 6 1:1) - due Feb 23
- Q1 2026: Build simpler Speakeasy Studio booking path for members (from Dec 23 1:1) - due Feb 25
Discussion Points:
- Quick status check on each - still relevant? Need to reschedule?
Outcome:
- Not discussed during this meeting. Carry forward to Feb 24 1:1.
Context: Alex was going to send a "not loving the radio silence" message after Feb 11 meeting. Adam has an update on a conversation with Joe.
Discussion Points:
- Adam's update on his convo with Joe Rosato
- Any movement on damage remediation?
- Next steps if still stalled
Outcome:
- Adam had a 1:1 conversation with Joe at Higher Grounds. Described it as a "mixed bag" - some ups and downs of frustration, but ended fine.
- Adam's core message to Joe: "I want people to see the version of you that I see, the best one, and I think you got to slow your role." Constructive criticism that Adam suspects nobody in Joe's life has ever delivered that way.
- During the conversation, Joe's defense mechanisms were active - lots of deflection ("it's not me, it's these tools, they make humanity bad").
- Later that day, Joe sent a DM that impressed Adam: "I don't say this often enough, but I really appreciate that what you guys are doing is important and on purpose and it's really hard. And I see that. And I'm sorry if I overstepped."
- Alex's assessment: "I think you should take that win. Well done." Suggested Adam keep that text handy as a reminder of truth and to reference with Joe if needed.
- Adam's read: the goal is heard, even if he's not happy with how it's being processed. "A little glimmer of progress."
- No update on damage remediation specifically - this was focused on Joe's behavioral patterns at Indy Hall.
Context: Adam may want to record something in the Speakeasy. Need to check if anything is scheduled there.
Discussion Points:
- What does Adam want to record?
- Check Speakeasy schedule for availability
- Coordinate with Vince/Taylor if needed
Outcome:
- Marty and Dan asked Adam to record with them in the Speakeasy.
- Adam's honest reflection: "I don't know what the setup is in there. I don't know what my access is. If they ask to record in there, I don't know who to refer to, who's in there." This surfaced a broader gap: if Adam doesn't know, members certainly don't know.
- Alex clarified: SBX guys aren't currently recording anything regular except with Alex. The gear in there is SBX's (don't touch), but the room is Indy Hall's.
- Since Adam just needs the room (bringing his own gear), Alex said: "Just book it."
- Action: Adam will email Taylor, Vince, and Alex to flag the booking and check for conflicts. Put it on the calendar. If conflicts exist, move it.
- Longer-term: the Speakeasy Studio booking path for members is still a Q1 goal (existing reminder due Feb 25).
Context: Adam wants to discuss a campaign to keep members engaged as winter ends and spring approaches - targeting members who started recently and may drift.
Discussion Points:
- Campaign concept and timing
- Target audience: new members, lapsed members, or both?
- What does "keep people coming back" look like in practice?
- Tie-ins with existing programming (Keeping Tabs, Lunch Meet, 20th Anniversary)?
Outcome:
- Adam raised it as a conversation starter, not a fully formed plan. The January/February energy influx is real; the question is how to sustain it through the spring transition.
- Adam's top idea: a Lunch Meet type event reframed as "new members especially encouraged" rather than exclusively for new members. An opportunity for new and existing members to get to know each other.
- Alex agreed this ties back to the broader retention conversation. Suggested coming up with 2-3 seasonal transition ideas: lunch meet being one, plus potentially a dual email sequence or other touchpoints.
- Both agreed this needs a dedicated planning conversation. Not resolved today but acknowledged as important. Will revisit with more depth.
- Alex traveling to North Carolina Feb 26 - Mar 2 - next week's 1:1 (Feb 24) will be the last before travel
- Alex's car is at the dealership for engine rebuild (short block replacement, 4-10 days). Covered by existing warranty. Two-year saga reaching its conclusion.
- Patterson wants a Japanese mini-dump truck. Alex has an inside track through his dad's girlfriend's grandson who imports/modifies alt recreational vehicles.
- Adam has a dentist appointment tomorrow but rescheduled it because of tours in the morning.
- Graham Vasquez (Code Club) is thrilled to be at Indy Hall - "This was a dream for them to be able to do this with us." Three main organizers, Graham is primary contact.
- Philly RB tonight. Wednesday is the triple-header (Civic Tech, Code Club, Game Night). Control Alt Philly not happening this month (sponsor coordination pending with Kyle).
- Monarch teacher training Saturday morning. Alex offered to reach out to Michelle for a check-in.
- House of Poets Saturday evening with Raz.
- Devon Smith's first salon Sunday evening.
- Adam running an event in Queen Village on Feb 27 (can't be at Name That Jawn).
- Name That Jawn has 9 RSVPs already and will get community spotlight + newsletter boost.
- Carry forward Topic 7 (Overdue Reminders Triage) to Feb 24 1:1
- Check on Keeping Tabs email routing fix (Deepak reply going to paper trail)
- Check on Kat Jost Fellow assets delivery (due end of this week)
- Check on Adam's backwards plan reading progress
Transcript reviewed during processing but not included in meeting file (per preference).
